PDF invoice vs a live invoice page
Send a live invoice page as the thing they pay. Keep a PDF for portals and accountants. Opens, pay on the page, and reminders need a URL.

TL;DR
- A PDF is a snapshot. It is done the moment you export it. Your invoice still has a job after send: be found, be understood by finance, accept payment, tell you if anyone looked, and come back next week as the same link. A live page in Brisk does that. A file cannot. Give them a PDF when they need a file. Do not make the file the only object.
Key takeaways
- A PDF is a snapshot. An invoice still has work to do after you send it.
- Keep PDFs for portals, accountants, and people who ask. Do not make the file the only copy.
- A live page stays current, takes payment or a transfer confirmation, and can be resent as one link.
- Open tracking is a status: unopened vs viewed. It is not a moral score. View tracking is Brisk Pro ($6/mo).
- Reminders should hang off the invoice, not off your Sunday memory.
This is for a freelancer who still exports, attaches, and hopes. The question is which object should be canonical. I am not against PDFs. I download them. Clients ask for them. Accountants like a file they can drop in a folder. Fine. Keep the file. Stop treating the file as the product.
The product is a page that keeps working.
What does “keeps working” mean?
After you hit send, the invoice should still be able to:
- Show the current status (sent, viewed, paid, overdue).
- Take the client to pay, or to confirm a transfer, without a second thread.
- Stay correct if a line item or a due date changes.
- Be resent as the same link, not a new attachment named `invoiceFINALv3.pdf`.
- Trigger a reminder that points at the same place.
That is the bar. Not “looks nicer than Word.”
If your process is export → attach → hope, the invoice dies in the sent folder. You become the system. Sunday night, you are the system again.
When is a PDF still the right object?
Give the PDF credit.
- Offline. Someone forwards a file into a tool that does not like unknown links.
- Their AP portal wants an upload.
- You need a copy for your own books.
- The client is old-school and asked for a PDF. Send the PDF.
None of that requires the PDF to be the only object.
The failure mode is this: the PDF is the only object, and every follow-up is a new object. Version soup. “Which one is live?” “Did you see the one from Tuesday?” You cannot see if they opened Tuesday.
A live page can still offer a download. That is the right order. Page first. File as a souvenir.
Where do PDFs quietly fail?
They do not tell you they were seen. You wait. You guess. You write a softer email than you need, or a harder one. Ghosting is worse when you cannot tell unopened from ignored.
They do not take money. “Bank details in the PDF” still means they leave your invoice, open a bank app, type, mistype, and never tell you. Card, Apple Pay, and Google Pay live on a page, not in a static file.
They rot. You fix a typo. You add a PO. You change the entity. Now you have two PDFs. Finance has the first one.
They are easy to lose and hard to chase. A reminder that says “see attached” starts the hunt again. A reminder that says “same link” does not.
They make you the reminder engine. You said you would follow up. The file cannot. You can paste reminder copy, or you can let the schedule live on the invoice.
I have done the Sunday-night version. It works until you have more than a handful of open invoices. Then it is a second job.
What is a live invoice page?
A URL. The client opens it. They see who you are, what the work was, what they owe, when it is due, and what to do next.
They pay by card if you offer it. Or they confirm a bank transfer so you are not guessing whether the money is “on the way.” You get a timeline: sent, viewed, confirmed, paid.
That is the whole idea. Not a portal with 14 tabs. One page for one invoice.
If you are still learning the fields that belong on any invoice, start with how to send your first invoice and the template. Format is not the magic. Completeness is. The live page just keeps that completeness in one place.
Brisk is built around that page. Free: 3 invoices a month. Multi-currency. Card, bank, Apple Pay, Google Pay on the page.
Is open tracking surveillance?
No. It is a status.
“They opened it” does not mean they will pay. It means you can stop asking “did you get it?”
Use it like this:
- Unopened after a day: check the email, resend, try the other contact. Delivery problem.
- Opened, not paid, still before due: leave it. The day-before note can stay light.
- Opened, overdue, no reply: you are not in delivery. You are in follow-up), then pause.
Without that bit of information, every silence feels the same. That is how you either nag early or wait too long.
In Brisk, knowing when a client opens the invoice is a Pro detail ($6/mo). Automatic reminders are not the same feature. You can have a live page and a reminder schedule without turning this into a tour. The point is the status, not the badge.
Why put pay on the page?
The best invoice answers the only question finance has: how do I close this?
On a live page that means:
- Amount is obvious
- Due date is a date, not a code
- Transfer details are copyable
- Card, Apple Pay, or Google Pay is there if you use it
- They can confirm when they have paid by transfer
You still send a proper invoice. You still keep records. You just do not make paying a scavenger hunt.
This is also why deposits) and milestone invoices work better as pages. The same client, the same method, the same link style, three times in a project. Less “what did you send me in March.”
Who should own the reminders — me or the invoice?
A PDF cannot remember Day −1, Day 0, Day +7, Day +14.
You can. You will not, not every time. The week you are busy is the week the quiet invoice slips.
Put the schedule on the invoice. Write the tone once. Let it go. Keep a last-chance note for the real ghosts.
That is the split I like: the system handles forgetful. You handle the boundary.
If you want the words, they are already written. If you want the calendar off your back, Brisk sends them from the live page. Same job.
What if my client needs a PDF?
Then give them a PDF. From the page.
Do not start the relationship as a file if you can start it as a link. When they say “we need it in the portal,” you download and they upload. You still see the open (on Pro). You still have one canonical amount.
If they refuse links on policy, you are in a process constraint. Send the file. Keep your own live copy so you are not blind.
What would I not do?
I would not rebuild your brand in a slide deck and call it an invoice.
I would not send an invoice with no due date because the PDF template looked clean without one.
I would not pretend a live page replaces a contract. Terms first. Then a page that can collect against those terms.
I would not claim a page makes people honest. It makes honest people faster. It makes silence easier to classify. That is enough.
How do I try this on the next invoice?
Pick the next invoice. Not a migration of your whole year.
- Put the real due date on it.
- Send a live page. Attach a PDF only if they asked.
- Turn reminders on before you send. Know the schedule.
- When they pay, you are done. When they view and stall, use the sequence you already have.
- Notice you did not spend a Sunday rewriting “just checking in.”
If cash is tight, this is not a branding upgrade. It is cash-flow hygiene. Faster clarity. Fewer mystery attachments.
Brisk is a workspace for that loop: send the page, see the activity, let reminders work. I built it because I did not want the snapshot to be the end of the job.
Your invoice should keep working after send. A file cannot. A page can.
FAQ
Should I stop sending PDFs entirely?
No. Send a PDF when a portal or an accountant needs a file. Make the live page the thing they pay and the thing you remind against.
Can a client pay from a PDF?
Not really. They leave the file, open a bank app, and type. A live page can take card, bank details, Apple Pay, or Google Pay on the same screen.
How do I know if they opened the invoice?
A PDF usually cannot tell you. Brisk view tracking is on Pro ($6/mo). Use unopened vs viewed to pick the next email, not to score their character.
What if they only accept uploads?
Download from the page and they upload. You still have one canonical amount and one URL for follow-up.
Do reminders work on a PDF attachment?
Only if you remember to send them. Put the schedule on the live invoice so Day −1, 0, +7, and +14 happen without a Sunday rewrite.
Is Brisk free to try this?
Yes. Free plan is 3 invoices a month. Enough to send the next one as a page instead of a snapshot.
Key insights
Keep the file. Stop worshipping the file. The invoice’s job continues after export. A URL can do that job. A snapshot cannot.
