Is the invoice your tax return?
No.
An invoice is a payment request that becomes a record. Your client may need it for their books. You will need it later.
Put on the invoice only what a stranger in finance needs to approve the payment. Put filing in a folder for you and your accountant.
Which of the three states am I in?
You are in one state on a given invoice. Not all three.
You charge tax on this invoice. Show the rate and the tax amount. Show the subtotal before tax and the total after. Name the tax the way your client expects it (VAT, GST, sales tax, or the local name). Put your legal name and address. If they asked for a tax number, put that too.
You do not charge tax on this invoice. Leave tax off. Do not add “Tax: $0.” Do not write a paragraph about why. If AP needs a note, one short sentence is enough: “No tax charged on this invoice.” Then stop.
You are not sure. Do not guess on a live invoice. Ask your accountant before you send. A wrong rate on a paid invoice is messier than a one-day delay.
What belongs on the document when I charge tax?

That is the tax story. Rate plus amount. Not a lecture.
What does a clean tax block look like?
Invented example. Brand kit, $3,000. You charge 20% VAT on this invoice. Due in 14 days.

They can see the work, the rate, the tax, and the total. Nobody emails “is tax included?”
If you do not charge tax, the same invoice ends at $3,000. No VAT row.
Why both the rate and the amount?
A rate without an amount forces them to do math. An amount without a rate looks like a fee they did not agree to.
Write both.
- “VAT 20% — $600”
- “Sales tax 8.25% — $165”
- “GST 10% — $240”
If two rates apply, show two lines. Do not average them. Do not hide a blended number in the total.
If some lines are taxable and some are not, show that on the lines or in two subtotals. Finance approves what they can audit in ten seconds.
Do discounts go before or after tax?
Before tax, unless you and the client agreed something else in writing.
Worked example. $2,000 of work. $200 discount. 20% tax on the discounted subtotal.

Do not apply tax to $2,000 and then subtract $200. They will ask. You will redo the invoice. That costs a week.
If the discount is a courtesy after tax, say so in one line. Most freelance discounts are on the work, not on the tax.
What if we agreed a different currency?
Invoice in the currency you agreed. Show tax in that same currency.
Do not print a second total in your home currency “for reference” unless they asked. Two totals create two opinions about what they owe.

What should I leave off the invoice?
A tax essay. “As a small supplier under section…” does not help them pay. If AP needs a phrase, they will send it. Paste it. One sentence.
Your filing history. They do not need last year’s registration date.
Advice. Do not tell them how to reclaim tax. That is their accountant.
A fake 0% line. If there is no tax, there is no tax line.
A rate you copied from a forum. Wrong rate, paid invoice, messy refund. Check your accountant.
What if they ask for extra fields?
Some companies will not process payment without a PO, a cost center, or their tax ID on the page.
Add those fields. Do not argue. The invoice is there to get paid.
Ask once, early: “What does your AP team need besides the work and the total?” Write it down. Reuse it.
If they ask you to change the tax treatment after the work is done, pause. That is not a layout request. That is a tax decision. Check your accountant before you reissue.
What do I write for reverse charge, exempt, or out of scope?
You will hear those words. They mean different things in different places.
For the invoice, you only need the outcome:
- Tax is charged: show rate and amount.
- Tax is not charged: leave it off, or add one agreed sentence if AP requires it.
- Tax is their problem under a reverse-charge style rule: only write the exact phrase your accountant gives you. Do not invent the wording.
I am not going to define those regimes here. The wrong sentence on a PDF travels farther than a Slack message.
When should I reissue?
Reissue if you sent the wrong rate, the wrong legal name, or the wrong tax number.
Do not silently edit a paid invoice. Issue a credit note or a new invoice with a new number, the way your accountant prefers. The old number stays in the history.
If they already paid the wrong total, fix money first, then paper.

Guessing the client’s rate. Your rate is about your registration and the job, not what their last vendor printed.
Burying tax in a package price. If you charge tax, show the breakdown. Ask your accountant how to present inclusive totals.
Changing the tax after they viewed it. A surprise new total looks like a bait-and-switch. Correct it with a short note and a new number.
Vague terms plus mystery tax. Specific due date. Clear tax line. Get paid faster without awkward conversations) is the follow-up system.
Treating a quote like an invoice. A quote can say “plus tax if applicable.” An invoice cannot stay vague. Decide before you send.
